To provide administrative and secretarial support to the CEO.
Job responsibilities will include:
- Type correspondence to include word processing/typing of letters, memos, forms etc..
- Provide administrative support to include telephone coverage, mail handling, supplies control and necessary communications internally and externally.
Professionally administer all incoming calls
Ensure phone calls are redirected accordingly
Greet guests in a professional, friendly, hospitable manner
Maintain the visitor area
Type memos, correspondences, reports, and other documents
Perform a variety of clerical duties
Coordinate the pick-up and delivery of express mail services
Assist in the ordering, receiving, stocking and distributing of office supplies
We require an Office Secretary to assist the director in different company operations.
- To manage the office staff and perform other related activities.
- Candidate should be hardworking, dedicated and self motivated.
Graduate, with good knowledge of MS Office Application. Should have the ability to use telephone PABX system
To Attend Telephone Calls & Maintain Record
To Assist and maintain Reminder for MD of the Company
To maintain personal Record & Bank Accounts of MD
To Draft simple letters on Computer
To Assist Accounts Department up to the limit of deposits/payment
- Prepare correspondence, reports and presentations.
- Setup CEO’s travel arrangements.
- Setup accommodation and entertainment
arrangements for company visitors.
- Maintain CEO’s calendar.
- Prepare and maintain CEO’s expense reports.
- Setup and coordinate meetings and conferences.
- Create, transcribe, and distribute meeting agendas
and minutes.
- Answer telephone calls and handle in appropriate
manner.
- Meet and greet clients and visitors.
- Perform general clerical duties to include but not
limited to: photocopying, faxing, mailing, and
filing.
- Maintain hard copy and electronic filing system.
- Other duties as assigned.
The candidate will have to perform the duties of front desk officer. She will have to greet people and inform them accordingly. She will also be working with other departments in order to do some administrative tasks.
Should be able to handle emails and reply accordingly. Basic training will be given. Candidate should be hardworking, dedicated and self motivated.
